Setting up and Importing Clients and Contacts

Follow these easy steps to get your client data into Client Hub:

1) Understand the Client Hub data model

Client Hub separates data into two areas:
    (1) Clients section is for the Organization-level information, like a client's company name and business type. 
    (2) And each Client can be associated with one or more Contacts where you can capture the data for individuals within that organization like Name, Email, Phone number



2) Customize the set of fields

  • In the left menu, go to the Setup & Settings page. In the Client Setup area, you will see Client Fields and Contact Fields
  • Decide what data you would like to track for each client organization.  Use the Client Fields menu and you will see the initial set up fields that Client Hub has set up.  You can add/remove the fields here.  For each field, you can give it a Field Name and also a field type (Text, Number etc.).  Note: the field type of "select" lets you restrict a field to a preset list of values.  For example, for a field named "Month", you can set up field type of "Select" and values of "Jan", "Feb", "Mar" ... 
  • Similarly, decide and set up the fields that you would like to track for contacts in the Contact Fields area .

3) Setup your Import Files

Client Hub imports data from CSV files.  You will create two files, one for Client data and one for Contacts data (see the attached sample file template)

  • Set up a CSV File with the Client data fields. Each row should be a different client for importing the information related to that client's organization
  • Set up a separate CSV file with Contacts data fields and a field called "Client Company" that associates the contact to the Client. Note: If you do not associate contacts to clients in each row, then you can also do this association as part of the Import flow below.

4) Import Clients and Contacts

  • Under the Add Clients section in the Settings and Setup page, click on Import Clients. This will start the flow that will guide you through uploading your CSV file with Client fields.  For each row in the file, Client Hub will create a Client record and add a workspace for that client in the "Clients and Workspaces" area of Client Hub
  • Click the Client Details tab and click the Invite Users button to invite your clients to their new Client Hub Workspace.
